Road America Camping for 2009

Based on the Camping poll as well as the fact that hotel rooms are limited in the area that weekend due to another event in Sheboygan, we will be offering camping at this years event. The cost for camping that we have been given by Road America is:

$35 for the weekend for a tent or tent camper
$50 for the weekend for a camping trailer (includes pop-out tent campers and includes using an enclosed car trailer to camp in), RV, Totor Home
$20 for the weekend for power hookup

The weekend is considered Thursday, Friday and Saturday nights for our event. There is no cost per person to camp. Thus if you have a camping trailer and you have 4 people staying in it, it is still just $50 for the weekend.

There will be no preregistering for camping. If you wish to camp at the event there will be a sign up at registration at the track. The camping fees are charged by Road America and not by the Northwoods club.

Road America Camping Poll Update

The Club Northwoods Board of Directors would like to update you on the costs for camping at the Road America Event.

We have confirmed from Road America the camping fees are:

$35 per weekend for Tents or Tent Campers
$50 per weekend for Campers, RVs, or Trailers. Note this includes enclosed car trailers if you wish to sleep in car trailer
$20 per weekend for a power hookup. Note that power hookups are only available in areas along pit lane and in the RV camping area

Also note that the per weekend includes Thursday, Friday and Saturday nights. In addition there will be no additional cost per person that will be in the camper. So for example you have an RV, it is $50 for the weekend if you have 1 person staying in it or 6.

For the additional cost to the club. To provide camping the additional cost to the club for security will be $1500. The plan is if we have enough club members that will camp, this additional cost will be picked up by the club. Note that this additional security will allow participants and club members access to the paddock past the normal 7:00pm track closing as well. So this would benefit more than just the campers as well. If camping is offered at the event, we will publish additional rules / guidelines for access to and from the track, as well as activities allowed at the track after 7:00pm in a future email in the next couple of months.

So please go to the club website and take the poll so we know if this is an offering that should be considered at this year’s event. Please do so by January 31st as the poll will end at that time and we will then determine if we have enough people camping that we will add the camping option to our contract with Road America. And again, please only answer Yes to the poll if you actually plan on camping at the event.

34th Annual Midwest Invitational – Camping Poll

Fellow Northwood’s Member,

We know with the economically troubling times that we are currently dealing with, many of you have not yet put much thought into the 2009 Northwood’s Shelby Club Track season. But it will be upon us very soon. We are currently in the process of getting contracts signed for our (3) events this year and when we do get the contracts signed, we will open registration. Please visit the website (www.nwshelbyclub.com) Events page to see the tentative dates for all the events. When we get more information, we will send an email out for each event.

The reason for this email is with the economically troubling times that we are in, we as a board are looking to ways to cut cost and make the ‘on-track’ experience the best that it can be. In regards to our 34th Annual Midwest Invitational at Road America, we are looking at the possibility of allowing overnight camping during the event. This will incur charges to the club for additional security needed from RA to a tune of around $2500.00. There is then a charge from RA to each camper (last year was $50.00 and this year is not set as of yet). Note that power hook-up is an additional charge as well. What we would like to know is how many people are actually interested in doing so? RA does allow grilling and they also have very nice showers in the main bathroom. You can sleep in a trailer in the paddock, in a tent, in your truck, in a nice motor home, etc. whatever you would prefer.

This would allow a substantial savings for those that stay in Elkhart Lake’s and surrounding area’s hotels which can run up to $300.00 a night for 2 people during this prime time of season.
We are conducting a survey on the club website to get some sort of interested number of participants to the idea of camping. You will have to log in and take the survey from your My Account page (just like you were going to register for an event). Please answer with the knowledge that if we do have camping, you will be able to do so. We need to get as accurate a number as we can get. So if you will camp at the event if it is offered answer Yes, but if you would not camp you will answer No.

Please take the survey before January 31, 2009 so we can add to the RA contract when it is presented to us if we do have the numbers to justify camping.

Blackhawk Farms Raceway – Event Updates

If you are attending the Blackhawk Farms event please read on for updated information.

To see the event itinerary please go to the Blackhawk event page and click on the 2008 Schedule of events link.

To enter the track at Blackhawk it is required that a gate be opened up so you can cross the track to get into the infield. Thus, please take note that with the track going green at 9:00am the gate will be closed at 8:50. To keep things moving during the day, we will limit the times when the gate will be opened as this will take time to do. It is planned that we will not open the gate until after group 4 exits the track. Thus per the itinerary we will open it approximately at 10:35. Then again at 12:15 and so on. So please plan accordingly.

Due to having 76 cars registered for the event (out of 80 total allowed) we are not going to take on site registrations.

If you are registered please check out your registration on-line in your My Account. Please check your registration status.

If it is Complete you are all set and just need to check in at registration and go to tech. If you have a status of Paid, that means you are paid but have not sent in your liability and medical forms. If you are in status Submitted that means you are not paid and we have not received the liability and medical forms. So if you are status submitted or paid, you need to print, fill out, and sign the liability and medical forms and bring them to registration with you. You cannot proceed to tech without submitting these forms.

All drivers need to also bring your completed tech form to the track as it will be required when you get to tech.

Passengers are also required to print, fill out, and sign the liability and medical forms before you will be allowed to be a passenger in the car.

So to move registration and tech as fast as possible, please have all the proper forms ready when you get to the track.

Also note we have updated the event page with driving instructions from Milwaukee. It can be used to get you to the track from the highway.
